Privacy Notice for AI Services
We ask only for the information needed to understand and respond to your enquiry. We explain how it will be used and do not reuse it for unrelated purposes.
Please do not enter passwords, API keys, identity documents, card details, medical information, or other secrets in the enquiry form. If sensitive material is genuinely needed after an agreement, we will arrange a separate, safer handover method.
1. Information we collect
This may include your name, email address, organisation, enquiry, the version of this notice you accepted, and the time your message was received.
2. How we use it
- To reply and clarify the facts
- To prepare a proposal or quote and agree the scope
- To deliver, document, and invoice agreed work
- To prevent abuse and investigate security incidents
We do not use enquiry details for advertising or unrelated marketing unless you separately agree.
3. AI tools and external services
We do not place personal or confidential client information in public AI tools or third-party services without written permission. If an external service is needed, we explain the provider, purpose, storage location, cost, and any international transfer before use.
4. Sharing and international transfers
We do not disclose personal information to another party without consent unless the law requires it. Where processing outside Japan is needed, the applicable law, roles, and transfer safeguards are reviewed for that project before an agreement is made.
5. Security and retention
Access is limited to those who genuinely need it. Credentials are not kept in enquiry records or ordinary logs. Information is deleted when there is no longer a contractual, operational, or legal reason to retain it, taking backups into account.
6. Access, correction, and deletion
Subject to applicable law and identity checks, you may ask for access, correction, restriction, or deletion through the enquiry form on the English AI services page.
7. Updates
We review this notice when the law, our services, or our data handling changes. Material changes will be made clear.
